ITD/Safford District/Douglas Maintenance
Work Location: 2001 A Ave Douglas, AZ
POSITION SUMMARY
Performs the office administration duties for a Highway Operations yard that performs roadway maintenance and incident response duties. Under general supervision, performs a variety of administrative functions of moderate difficulty and serves as support staff to the Highway Operations Supervisor. Coordinates activities and administrative matters between organizational units for one or more programs, and that have a moderate impact on agency operations. Position is responsible for work of moderate difficulty in purchasing, accounting, payroll, human resources, budget, safety, maintenance, budget and planning (Pecos), maintenance materials inventory and other staff functions. Responsible for maintaining highest level of confidentiality.
Occasional overtime during emergencies and inclement weather on weekends, nights and holidays and daytime and overnight travel for training and meetings is required.
KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:
Principles and practices of office administration and management
Agency rules, regulations, policies and operating procedures
Office procedures, procurement and receiving of goods and services reporting and coding, inventory and customer relations
Payroll and Purchasing systems
Computer systems and associated business/office software such as word processing, spreadsheets, databases, graphics, scheduling, organizing and communications
Computerized, HRIS personnel and time and attendance program
Incident Management principles and practices
Total quality management principles and tools to facilitate continuous improvement
Skill in:
Oral and written communications.
Interpersonal relationships.
Use of computer programs to develop spreadsheets, manipulate databases.
Preparing exhibits and graphic representations and use word processing programs.
Ability to:
Analyze and evaluate a wide variety of highway maintenance data.
Design and draft forms, sketches and diagrams for procurement and contract administration documents.
Perform multiple tasks, communicate effectively, and comprehend directions.
Plan, coordinate, analyze, and establish priorities
Develop effective operating procedures
Work under stressful conditions.
PREFERRED REQUIREMENTS
Will have a High School Diploma or successful completion of a General Education Development (GED) examination (education must be detailed on resume to receive appropriate credit).
Experience as an Administrative Assistant 1 or 2 which would include administrative, personnel, financial and communication functions, be a self-motivator who can work alone or in a group.
Experience with the use of a personal computer to include office, data processing and accounting software.
PRE-EMPLOYMENT REQUIREMENTS
This position requires possession of a valid Arizona Class D Driver License. Candidates for this position must complete and sign the Driver Form on page 6 of the State of Arizona Application for Employment at the time of interview, which will allow ADOT to obtain the candidate's motor vehicle record (MVR). The most recent 39-month period shown on the MVR will be reviewed in accordance with A.A.C. R2-10-207.12 (H) and (I). The review must show an acceptable driving record prior to any offer of employment being made by ADOT. Employment is contingent upon an acceptable MVR.
